How to choose a placement service as a UTRGV NP student
Judge a placement service by UTRGV's rules, not by its promises. The right one finds preceptors who meet the exact requirements of your course, prepares what UTRGV's Clinical Request Form and preceptor agreement ask for, quotes timelines that allow for a 30 to 90 day agreement, puts its replacement terms in writing and knows how Valley practices take students. Here is what to ask, course by course.

Start from UTRGV's rules, not a sales pitch
Every preceptor a service finds still has to clear UTRGV. The Summer 2025 NURS 6347 syllabus counts only sites the university has approved, the FNP syllabi call for qualified and approved preceptors, and no PMHNP hour counts until the student's clinical faculty has cleared the site. A preceptor who fails any of those tests costs you weeks, however fast the service produced the name.
So the first test of a service is whether it knows the rules for your course by number. Ask it, before you share much, what NURS 6347 needs and who may precept NURS 6620. Clear, specific answers show a service built for UTRGV students; generic NP talking points show one that will learn your program's rules at your expense.

Help with the Clinical Request Form and preceptor agreement
A strong service does more than hand you a name. When a clinic is new to UTRGV, the Clinical Request Form (the archived 12-24 edition) needs the facility's name, its signing official for agreements and the preceptor's name, and FNP students add the Typhon data sheet that matches the preceptor's license. Ask whether the service gathers those details and credentials from the practice, or leaves you to chase them between shifts.
Ask, too, whether it readies the preceptor for UTRGV's paperwork: the preceptor agreement that carries your course objectives, a signature on your log every week, the Mandatory Weekly Time Report, and the end-of-course evaluations of you, the preceptor and the site. A preceptor who knows what is coming signs on time, and that protects your hours. The agreement and forms guide lists each document.
Timelines that leave room for UTRGV's approval
Honest timelines start from UTRGV's calendar, not the service's. A new affiliation agreement runs 30 to 90 days under the PMHNP guidelines when the request is complete, FNP students hand in the signed preceptor agreement and time report at least a week before clinicals begin, and PMHNP hours begin in the fall semester that follows a Summer I entry.
Warning signs
- A promise that UTRGV will approve the preceptor, or will do so by a set date. Only UTRGV's faculty decide.
- A start date that ignores the agreement window for a clinic new to UTRGV.
- Vague answers about which of your courses the preceptor can cover.
- Pressure to commit before you have seen the preceptor's credentials or clinic schedule.
Replacement terms in writing
Preceptors change jobs, trim clinic days and take leave, and a mid-course loss hurts most in NURS 6613, where 24 hours a week leave no slack. Before you sign up, ask for the replacement terms on paper:
- How soon the replacement search begins after you report a problem.
- Whether the replacement must meet the same course rules as the original preceptor.
- Whether practices on UTRGV's approved list are tried first, since they avoid a new agreement mid-term.
- Whether a replacement is included in what you pay; cost explains what shapes a fee.
A service that answers all four plainly, before you pay, has planned for the hard weeks of a UTRGV clinical course rather than only the first phone call.
Experience with Valley practices
Local knowledge shows in the details. A service that knows the Valley can tell you that DHR Health in Edinburg and Brownsville hosts student rotations solely for its affiliate or partner schools and leaves preceptor-finding to the school side, that Driscoll Children's Hospital Rio Grande Valley routes student placements through myClinicalExchange starting with the school coordinator, and that the Valley's other hospitals post nothing on NP student rotations.
It should steer FNP students toward the settings that fit primary care courses, such as independent family and pediatric offices and community health centers like Nuestra Clínica del Valle and Su Clínica Familiar, and toward Starr County for the rural focus of NURS 6311. For PMHNP students outside Texas, it should know that a number of states regulate programs from other states that place students within their borders; the out-of-state guide walks through them.

No UTRGV document we reviewed names a placement service, and none is needed for approval: UTRGV's faculty review every preceptor and site on the same terms, however the match was made. Choose a service on how well it fits UTRGV's published rules and your course, and keep your course coordinator informed of your plans.
Can a placement service get my site approved faster?
No outside service can speed up UTRGV's review, but a good one removes avoidable delays. The 30 to 90 day window in the PMHNP guidelines assumes an accurate, complete request, and a practice already on UTRGV's list skips the wait entirely. Early, complete requests are the real advantage a service can give you.
What should a PMHNP student outside Texas ask a service?
Ask whether it searches your state for board-certified psychiatric clinicians, ABPN for psychiatrists and ANCC for PMHNPs, whether it screens out your own workplace, and whether it knows your state's rules for programs based elsewhere. UTRGV's SARA list covers every state except California, which separately requires its board's approval before NP programs from other states place students there.
Should I trust a service that promises a preceptor within days?
Be careful with any fixed promise. A willing preceptor at a listed practice can come together quickly, but a clinic new to UTRGV still needs an affiliation agreement, and faculty approval follows that. Ask how the service arrived at its timeline and whether it accounts for your course's weekly load.
What should I have ready before I contact a service?
Your UTRGV program, the next clinical course and its term, your city or county, how far you can travel, the days you are available each week, and the approved-list practices you have already contacted with their answers. PMHNP certificate students should add their state of residence and any clinicians they have already approached.
